Every other part of a college festival can be compressed if you're behind schedule. Artist booking can't — availability, contracting, and rider logistics run on the artist's calendar, not yours. Here's a realistic timeline.
The Artist Booking Timeline
- 3-4 months out: Set the artist budget and build a wishlist with realistic alternates — not just one name.
- 2-3 months out: Contact management/agencies, negotiate fees, sign contracts and pay advances.
- 4-6 weeks out: Finalize the technical rider — stage size, sound specs, power requirements — against your actual venue.
- 1-2 weeks out: Confirm travel, accommodation, and green room logistics directly with the artist's team.
What Artist Fees Typically Depend On
Fee ranges vary enormously by tier, but the biggest swing factors within a tier are: how many acts you're booking (a single headline act vs. a full line-up), what city the artist is traveling from, and whether you're asking for regional exclusivity (not performing at another college within a certain radius in the same season) — which usually adds a premium.
