Product Launch Checklist: From Concept to Reveal Day

A product launch has one job: make the reveal land. But the reveal itself is rarely where launches fail — it's the weeks before it, when staging, guest list, and media coordination either come together or don't.

The Product Launch Timeline

  • 6-8 weeks out: Define the reveal concept, shortlist and book the venue, confirm the guest and media list.
  • 4-6 weeks out: Finalize staging and AV cues for the reveal moment specifically — not just the general event.
  • 2-3 weeks out: Rehearse the reveal sequence, confirm media logistics and any embargo terms.
  • Final week: On-site walkthrough, product handling and security confirmation, final headcount.

Staging the Reveal Moment

The reveal itself should be choreographed like a single cue, not one more agenda item — lighting change, AV trigger, and physical reveal mechanism (curtain, rotating platform, screen) timed together, rehearsed at least once at the actual venue, not just on paper. The rest of the event exists to build toward that moment and capture it afterward.

In-Person vs. Hybrid Launch

Factor In-Person Only Hybrid (Livestreamed)
Audience reach Limited to venue capacity Extends beyond the room
Cost Lower — no streaming production Higher — added AV/streaming crew
Media coverage ease Depends on press attendance Easier — remote media can join
Technical complexity Lower Higher — needs a dedicated stream plan

Common Mistakes

  • Rehearsing the event but not the reveal specifically. A full run-through matters less than a dedicated rehearsal of the exact reveal cue.
  • No media list until the final week. Press and influencer logistics need the same lead time as guest logistics.
  • Treating the product handling as a formality. Security and handling procedures for the actual product deserve their own plan, not an afterthought.
